What is an email security gateway?

An email security gateway sits in front of your mail server or cloud inbox and filters all inbound and outbound messages before they reach users. It blocks spam, malware, phishing links, and malicious attachments using a combination of reputation data, content analysis, sandboxing, and machine learning. Cloud-based gateways require only an MX record change to deploy and add no hardware to manage. On-prem gateways give you full control over data residency and filtering rules.

Do I need email security if I already use Microsoft 365?

Microsoft 365 Defender provides a baseline level of filtering, but independent testing consistently shows it misses a significant percentage of phishing emails and BEC attempts that a dedicated third-party gateway catches. Microsoft's filters are also a known target for attackers who craft campaigns specifically designed to evade them. A dedicated gateway like Barracuda, SonicWall, or Sophos Email adds a second layer of filtering with sandboxing and AI-based BEC detection that meaningfully reduces your phishing exposure.

What is business email compromise (BEC)?

Business email compromise is a form of fraud where an attacker impersonates a trusted person, such as a CEO, CFO, vendor, or attorney, to trick an employee into wiring money, changing payroll deposits, or sharing credentials. BEC attacks often carry no malicious attachments or links, which makes them invisible to traditional antivirus scanners. They rely entirely on social engineering and pass standard authentication checks. AI-based behavioral analysis is the most effective defense against BEC.

What is email archiving and do I need it?

Email archiving captures and stores a tamper-proof copy of every inbound and outbound email, independent of the mail server, for a defined retention period. It is required by regulations including HIPAA, FINRA, SEC Rule 17a-4, and various state data retention laws. It is also essential for legal hold and e-discovery situations where you need to produce email records quickly and prove they have not been altered. Microsoft 365 retention policies are not a substitute because they can be modified or deleted by administrators.

How quickly can email security be deployed?
